🧰 Project Based Budgeting

October 14, 2025

By Ted Steinmann

πŸ“Œ Objective

To build a project-based budgeting system that simplifies reporting, ensures compliance, and empowers committees with clear financial boundaries.

πŸ—οΈ What I Built

A dynamic Google Sheet that:

  • Tracks budget vs actuals in real time
  • Generates an income statement and balance view automatically
  • Organizes data with structured categories and descriptions
  • Keeps information exportable for tax and designation purposes

βš™οΈ How It Works

The system is designed around transparency through project-level budgeting:

  1. Set Project Budget Allocations and Operational Expenses

    • Start the year by assigning budgets to specific service projects and operational categories (e.g., fundraising, administration, membership development).
    • These allocations define the financial β€œenvelopes” for each area of activity.
  2. Record Dues and Income Sources

    • If your club collects member dues or receives donations, these are entered into the income section.
    • All incoming funds are categorized to align with their intended purpose or project.
  3. Enter Transactions as They Happen

    • Expenses and additional income are entered through a simple transaction log.
    • Each transaction is tied to a project or operational category.
  4. Automatic Budget and Statement Updates

    • The transaction log dynamically updates:
      • Project budget balances
      • Total operational expenses
      • Income statement and balance sheet views
  5. Transparency by Design

    • Because everything is tied back to projects and categories, anyone reviewing the sheet can see exactly how funds were allocated and spent.
    • This reduces ambiguity, simplifies reporting, and builds trust.

🧭 Governance Benefits

  • Provides clear financial documentation for annual reporting
  • Increases confidence in board-level statements
  • Offers a repeatable model future officers can inherit
  • Establishes a foundation for committee-level autonomy
  • Ensures compliance with Rotary and 501(c)(3) reporting expectations

πŸ“ˆ Impact

  • βœ… Transparent financial data
  • βœ… Faster report preparation
  • βœ… Fewer bottlenecks during board reviews
  • βœ… Higher engagement from committee leads

πŸͺœ Why It Matters

The Service Financials system translates Rotary’s service-first mission into a simple governance framework.
It helps small clubs behave with the clarity of large organizations β€” aligning service, stewardship, and sustainability.
